Who we are
This website, ajservicesystems.com, is operated by AJ Service Systems LLC (“AJ Service Systems,” “we,” “us”), a California limited liability company located at 5051 Holly Dr, Shingle Springs, CA 95682. This policy explains how we handle personal information when you visit our website, fill out our forms, call or text us, or use our services.
Information we collect
Information you give us
- Contact details: name, email address, phone number, company name and mailing address.
- Business details: your trade, service area, call volume, job sizes and similar details you share on forms or calls.
- Communications: messages, emails, texts and call recordings when you contact us.
- Billing details: if you become a client, payment information is collected and stored by our payment processor. We do not store full card numbers.
Information collected automatically
- Essential data: basic technical information your browser sends (IP address, browser type, pages requested) that our hosting provider uses to deliver and secure the site.
- Analytics and advertising data: only if you click “Accept all” on our cookie banner, we use Google Analytics and the Meta Pixel to understand which pages and ads are working. See Cookies and your choices.
- Campaign details: if you arrive from an ad or link, the campaign tags in that link (such as utm_source) may be attached to your form submission so we know how you found us.
We do not use session-recording or “replay” tools on this website.
How we use information
- To respond to you, schedule your audit and provide the services you ask for.
- To send the text messages and emails you’ve agreed to receive.
- To build, operate, test and improve the systems we provide to clients.
- To bill clients and keep business and tax records.
- To measure and improve our website and advertising, if you’ve consented to analytics and advertising cookies.
- To comply with the law, enforce our terms, and protect our business, clients and the public.
Text messaging (SMS)
If you give us your mobile number and check one of the optional consent boxes on our forms, you agree to receive text messages from AJ Service Systems LLC as described in that box:
- Non-marketing messages: audit scheduling, appointment reminders and account notifications.
- Marketing messages: special offers, discounts and service updates, only if you check the separate marketing box.
Consent to receive texts is not a condition of any purchase. Message frequency varies. Message and data rates may apply. Reply STOP at any time to opt out, or HELP for help. Full program terms are in our Terms of Service.
No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Phone calls, recording and AI
Calls to our business line and demo line may be answered by an AI voice assistant and may be recorded and transcribed. Every such call begins with a notice that you are speaking with an AI assistant and that the call may be recorded. If you do not want to be recorded, you can hang up and email us instead. We use recordings and transcripts to respond to you, to train our own team, and to test and improve our systems. More detail is on our AI & call-recording disclosure page.
How we share information
We do not sell your personal information. We share it only as described here:
- Service providers that help us run our business, under contracts that limit how they use it: GoHighLevel / LeadConnector (CRM, forms, calendars, texting and email), Retell AI and the AI and telephone providers it relies on (voice calls, recordings and transcripts), Google Workspace (email and documents), Cloudflare (website hosting and security), and our payment processor.
- Analytics and advertising partners (Google and Meta), only if you accept analytics and advertising cookies. Text messaging opt-in data and phone numbers collected for texting are never shared with them.
- Professional advisers such as our accountant or attorney, under a duty of confidentiality.
- Legal and safety reasons: to comply with law or a valid legal process, or to protect the rights and safety of any person.
- Business transfers: if our business is sold or merged, information may transfer to the new owner, subject to the text-messaging commitments in this policy.
California’s “Shine the Light” law (Civil Code § 1798.83): we do not share personal information with third parties for their own direct-marketing purposes.
Information we handle for our clients
When we run an AI receptionist or follow-up system for a contractor, we process their customers’ calls, messages and contact details on the contractor’s behalf, as their service provider. That information belongs to the contractor and is used only to provide their service. If you are a customer of one of our clients and have a privacy request, contact that business directly. We will help them respond.
Cookies, analytics and your choices
We use only essential cookies and browser storage by default (for example, to remember your cookie choice). Analytics (Google Analytics) and advertising (Meta Pixel) tools load only after you click “Accept all.” You can change your choice at any time with the Your Privacy Choices link in the footer of every page.
If your browser sends a Global Privacy Control signal, we treat it as a request to opt out of advertising cookies and the sharing of your information for cross-context behavioral advertising.
How long we keep information
- Leads and inquiries: up to 3 years after our last contact, unless you ask us to delete it sooner.
- Client records and invoices: for the length of our agreement plus up to 7 years for tax and accounting.
- Call recordings and transcripts on our own lines: up to 12 months. For client systems, as set in the client’s agreement.
- Analytics data: up to 14 months.
- Text opt-outs: kept as long as needed to honor them.
Security
We use reputable providers, encrypted connections (HTTPS), two-factor authentication and limited access to protect information. No system is perfectly secure, so we cannot guarantee absolute security, but we will notify you as required by law if a breach affects your information.
Your California privacy rights
We honor the following rights for California residents, whether or not the California Consumer Privacy Act applies to a business our size:
- Know and access the personal information we have about you and how we use it.
- Delete personal information we collected from you, subject to legal exceptions.
- Correct inaccurate personal information.
- Opt out of the sale or sharing of personal information. We do not sell it. You can opt out of advertising “sharing” with the Your Privacy Choices link or a Global Privacy Control signal.
- Limit the use of sensitive personal information. We do not use sensitive personal information to infer characteristics about you.
- Non-discrimination: we won’t treat you differently for exercising these rights.

Children
Our website and services are for businesses and adults. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us information, contact us and we will delete it.

We may update this policy. We will change the “Last updated” date above and, for significant changes, give notice on this website or by email.
