How it works
Live in 7–10 business days. About an hour of your time.
Here’s exactly what happens from the audit to go-live, what the AI will and won’t say, and what you get every month.
The call flow
What happens when a homeowner calls
- Your line rings. If nobody picks up in a few rings, or it’s after hours, the call forwards to your AI receptionist.
- The AI answers in your company’s name, says it’s an AI assistant, and finds out what the caller needs.
- It checks the address is in your area and asks your questions: project, timeline, budget range.
- It offers two open estimate times from your calendar and books the one they pick.
- The caller gets a confirmation text. You get an alert with a summary and the recording.
If anything slips past the AI, missed-call text-back sends the caller a text within seconds.

Setup timeline
From audit to answered calls
| When | Step | What happens |
|---|---|---|
| Day 0 | Kickoff (45 min) | You walk us through your services, service area, hours, how you price estimates, and what makes a job a good fit. We collect calendar access and your lead sources. |
| Days 1–3 | We write it | Your AI receptionist’s script in your words, its answers to common questions, your text-back message, and your estimate follow-up sequence. You approve every line. |
| Days 3–7 | We build it | Phone number and call forwarding, AI agent, calendar rules, CRM pipeline, text registration, and the follow-up automations. |
| Days 7–9 | We test it | 20+ test calls: happy paths, price questions, emergencies, angry callers, Spanish speakers, out-of-area jobs. You make your own test call and sign off. |
| Day 7–10 | Go live | Forwarding switched on. Your office person gets a 15-minute walkthrough of the mobile app. The first reactivation campaign goes to your past customers. |
| Every week | We tune it | We review call transcripts weekly and adjust the script when something can be said better. |
| Every month | You get the report | Calls answered, after-hours leads caught, estimates booked, revenue recovered, plus a 30-minute strategy call. |
Guardrails
What the AI will never do
You approve the script before go-live. These rules are built into every system we install.
- Discloses it’s an AI assistant and that the call may be recorded, on every call
- Never quotes prices, start dates or what’s included. Those come from you at the estimate
- Books only inside your calendar rules (days, hours, buffers, service area)
- Hands anyone who asks for a person to you, with a message and an alert
- Flags emergencies (active leaks, no heat or cooling, safety issues) and alerts you right away
- Answers calls you forward. We never use AI to cold-call homeowners
Your phone number
You keep your number. Nothing changes for your customers.
We don’t port or replace your business line. We set up call forwarding so calls you don’t answer, or calls after hours, go to your AI receptionist. You choose the rules: forward after 3 rings, forward everything after 5pm, or both.
Texts go out from a registered business number, and every contact, call recording and booking lives in a CRM you can open on your phone. It’s your data, and it stays yours if you ever leave.
